A Halloween question: Is your content safe?

HalloweenAt our "Sharepoint Meets ECM" seminars across the country, one of the issues that constantly emerged from end users was the question of where to draw the line between access issues (i.e., how can I get more people to collaborate on content?) and control issues (i.e., how can I make sure the organization does not get into trouble?)  We'll be doing a webinar on this question on Thursday, November 1, 2007 at 2:00 pm EASTERN TIME.  The link to register is HERE.

Most of the end users I spoke with seemed to like the analogy of a "slider" with ACCESS (collaborate and innovate) on one side and CONTROL (control and secure) on the other.  Unfortunately (oh, life would be so much easier) there are no black and white answers to exactly where the "slider" should ideally be positioned.  Rather, each organization needs to determine the risks and opportunities associated with the management of content, and the positioning of the "slider" will ultimately be a function of what business you are in, the culture of your organization, the nature of the government, legal, and industry compliance requirements placed upon your organization, and whether you just happen to have the bad luck to be in a highly litigious industry.

Recently, we asked 600+ end users this question ... "Is your content strategy driven more by a desire to lock down content or enable secure collaboration?"  The responses fell into an almost perfect bell curve, tipped a bit toward the "lock down" end of the spectrum, reflecting that most organizations are indeed trying to maintain a balancing act between these two extremes.

On another note, at the most recent meeting of our European Advisory Trade Members, my colleague Carl Frappaolo from our Market Intelligence unit presented his views of the intersection between Enterprise 2.0 technologies and ECM. My "it's free" above is a bit tongue in check but also to answer a question that I am often asked by end users. Many end users often note all the free content we provide and ask why we do it. Our mission is pretty simple -- to provide high quality content at little or no cost to connect as many users as possible with the risk and process benefits of document and content technologies. How are we different from other analyst companies? Most of our stuff is free. How are we different from consulting groups? We don't do user implementation consulting. And as a non-profit association, any "profits" we make go right back into the industry we represent.

MoReQ Roadshow in Germany....

Moreq2 is getting closer to its final version. For the last year, Serco, formerly Cornwell Consultants, has been developing the Moreq2 standard for Records Management for the European Commission. Now, as the final version is getting closer, AIIM has decided to support the independent Consultants PROJECT CONSULT in Germany to bring this standard closer to the end-users. PROJECT CONSULT is also part of the editorial committee for this standard.

From the 26th-30th of November a series of Seminars will be held in Hamburg, Düsseldorf, Munich Frankfurt and Berlin. The Roadshow will cover content and ways to implement this important standard and will introduce it into the German market for the first time. The content will be entirely in German and will be supported by a number of vendors who have written Records management on their banners.

In case you missed this on Sports Center...

I don't usually run personal posts on this blog, but I was touched by this story on ESPN this morning. For those who didn't see it, it's worth a look. Perhaps it's from watching so many ACC games in various sports over the years, but it struck a chord. Like many others, I have the little heart on my driver's license, but to be honest, I didn't really give it a whole lot of thought when I did it. I did after this story.

Content Security Market IQ Now Available

Preaching Outside the Choir -- SaaS

One of the interesting developments in the ECM industry over the past year has been the development of some viable SaaS models for ECM delivery (SpringCM for example). The companies have started to get some traction and support from the venture community (SpringCM, for example, is backed by Foundation Capital out of Menlo Park, CA and has assembled an experienced industry team headed by CEO Dan Carmel.

One of the issues we probed in our "unconnected with AIIM" sample of end users was their receptivity to Software as a Service (SaaS) solutions (not just with regards to ECM, but in general). The specific questions was, "In the next 2-3 years, how likely is it that your organization would consider "buying" software as a service (the salesforce.com model) rather than buying the software outright?" The survey said...

Very likely = 15%
Likely = 20%
Somewhat likely = 27%
No way = 14%
I have no idea = 24%

The responses tell me that end users have come a long way in their potential responsiveness to a SaaS model of software delivery. Perhaps this is because they have been burned by software license and maintenance costs, perhaps this is because of the success of salesforce.com, but in any event, for 35% of end users, this is a solution they are likely or very likely to consider in the next 2-3 years.
